The Chief Administrative Officer (CAO) is responsible for managing Feeding South Florida’s (FSF) daily administrative operations, ensuring efficient internal processes and seamless workflows. This role will collaborate with the Executive Team and Board of Directors to develop and implement policies, manage budgets, and ensure compliance. The CAO brings strong financial acumen to support sound fiscal planning and resource allocation. Additionally, the COA plays a key role in fostering team member productivity and cultivating a highly inclusive culture where team members can thrive.
POSITION RESPONSIBILITIES
• Oversee day-to-day administrative functions, including managing human resources, IT, facilities and finance and accounting.
• Develop actionable business strategies, objectives, and plans that ensure alignment with short- and long-term objectives developed with the CEO.
• Identify areas of the organization where systems, processes, and controls can be improved, including managing, organizing, and coordinating team members from different areas and developing and implementing plans to optimize these processes.
• Play a critical role in financial planning, strategic planning, and forecasting while overseeing the financial management of the company, including budgeting, forecasting, and ensuring that Feeding South Florida is operating within budgetary constraints.
• Analyze financial data to identify trends, variances, and opportunities for cost savings or revenue enhancement.
• Ensure compliance with GAAP and applicable government agencies and other revenue-based contracts.
• Ensure compliance with all federal and state tax regulations, including IRS filings, and nonprofit financial reporting requirements.
• Oversee financial reporting for grants and contracts and ensure compliance with all terms and conditions.
• Coach and develop the team to ensure they deliver against key business metrics.
• Develop and implement and organization and employee development program.
• Work with HR to create a long-term organizational training program.
• Ensure compliance with all areas of employment law.
• Provides mentoring opportunities for team members and works with HR to provide a talent development program for the company.
• Create and provide timely, accurate, and complete reports on the operating condition of Feeding South Florida on a weekly, monthly, quarterly, and annual basis.
• Work closely with the CEO and other executives to develop and implement business strategies that align with Feeding South Florida’s goals and objectives.
• Identify and mitigate potential risks to the business, including developing and implementing risk management strategies.
• Ensure regulatory compliance and oversee legal and compliance-related matters.
• Support CEO in other matters as requested.
POSITION QUALIFICATIONS
• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
• Six Sigma certification a plus.
• Minimum of ten (10) years of experience in a leadership role, preferably in a nonprofit or fast-paced environment.
• Strong operational expertise across various departments or functions; including an understanding of budgeting and risk management.
• Strong knowledge of GAAP and IRS regulations required. Non-profit accounting principles and understanding of tax-exempt organization are a plus.
• Proven track record of developing and implementing business strategies that align with company goals and objectives.
• Must exhibit a high level of discretion, judgment, and personal integrity.
• Must have the ability to work in a fast-paced environment and maintain a high level of accuracy and product integrity.
• Ability to think strategically and adapt to changing business environments.
• Ability to build and maintain internal and external relationships.
• Ability to mentor, coach, and support individual staff growth.
• Ability to communicate and interact with a diverse group of people.
• Excellent analytical, problem-solving, and organizational skills.
• Entrepreneurial mindset a plus.

PHYSICAL DEMANDS & WORKING CONDITIONS
• Hours of Operation: Organization hours are Monday-Friday, 8:00 a.m. – 5:00 p.m., this position may work additional hours occasionally throughout the year, especially during peak times such as holiday seasons, and disaster response.
• Environment: This position works in an office setting with varying periods of standing, talking, and/or visual concentration, and use of office equipment. Must maintain office safety standards. Occasional work will occur in the warehouse or outside in fields and warehouses in inclement weather. The noise in the work environment is usually moderate to loud.
• Travel: This position may have occasional travel for meetings, conferences, or special events which may require the use of a personal vehicle.
• OSHA Standards Lifting requirements are 50 pounds and when lifting loads heavier than 50 pounds, use two or more people to lift the load.
