The Executive Administrative Associate provides high-level, confidential administrative and technical support to the Chief Advancement Officer (CAO) and the Chief Human Resources & Administration Officer (CHRAO). This role is critical to the smooth operation of executive leadership, supporting complex scheduling, board engagement, communications, and document management in a fast-paced, hybrid work environment. Manage complex executive calendars and travel, including prioritization and conflict resolution
Coordinate communications and workflow with board members, donors, volunteers, vendors, and internal partners
Maintain executive files (electronic and paper) and manage confidential documents
Prepare letters, agendas, minutes, memos, and other executive correspondence
Support board and committee meetings, including materials preparation, presentations, attendance, and minute-taking
Create high-quality presentations for board, fundraising, and internal meetings
Coordinate meeting logistics, including catering, room setup, and materials
Manage light administrative functions such as expense reports, invoices, meeting registration, and travel planning
Greet and support visitors, including board members, donors, and external partners
Collaborate with other Executive Administrative Associates and provide backup support as needed
Attend early morning or evening meetings as required
Perform additional duties as assigned in support of organizational goals
3–5 years of experience supporting senior-level executives
High School diploma required; Bachelor’s degree preferred
Exceptional organizational, multitasking, and prioritization skills
Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint, Teams)
Experience with Salesforce, ADP, NetSuite, Zoom, and similar workplace platforms preferred
Strong written, verbal, and interpersonal communication skills
Proven ability to manage confidential information and meet deadlines under pressure
Excellent attention to detail and customer service skills
Ability to work independently and collaboratively in a team environment
Willingness to travel locally on occasion
Must reside in Massachusetts, Rhode Island, or New Hampshire
