The Development Operations Coordinator – Internal will contribute to the day-to-day operations of gift processing, acknowledging donors, fulfilling requests made by internal fundraisers and coordinating small projects. This position will sit on-site within the development operations team.

Job responsibilities

Gift Processing and Support
• Manage the Stock Gift process including downloading stock gifts, maintaining the stock worksheet, and allocating gifts as directed. Work with our stockbroker to ensure donor identification.
• Review gift coding for accuracy and ensure alignment with donor worksheets.
• Provide internal customer service and the coordination of request.
• Daily notification of the Incoming Major Gifts.
• Process Major Gift batches ensuring gifts are coded correctly. Including researching unknown gift allocation and working with the assigned IPO to resolve.
• Review team member gift entry and commit batches so they are ready for the Donation Supervisor to post to the Finance department.

Acknowledgement Letters
• Manage the Gift Acknowledgement process. Run the Gift Acknowledgment letters twice weekly, emailing to donors and internal staff, work with our Marketing team to ensure letter text is current and accurate. As well, exporting datafiles and collaborating with an outside vendor mail house to ensure files are accurate and confirming proofs are ready to mail.
• Complete acknowledgement change requests submitted by internal staff.

• Work in conjunction with the Development Operations Supervisor on tasks and projects as needed.
• Respond to request through our work ticketing system, troubleshooting, or providing the requested information.
• Serve as back-up for Data Entry Operator.
• Assist as needed with transition from Raiser’s Edge to Salesforce in 2023.

Application qualifications

• Experience using Raiser’s Edge and/or Salesforce CRM is preferred.
• Solid computer skills. Competence in Microsoft Office including Outlook, Word, and Excel.
• Commitment to impeccable accuracy and proof-reading skills.
• Demonstrated ability to organize, plan and conduct activities independently to meet specific timelines and goals.
• Understanding of basic fundraising and donor stewardship principles preferred.
• Ability to work independently and in a team environment.
• Ability to effectively communicate both verbally and in written form.
• Experience providing internal customer service to all levels and backgrounds.
• Ability to make frequent changes of routine and pace of activity due to unpredictable demands without loss of efficiency or composure.
• Possess a passion for the advancement of the agency’s mission.
• Ability to work flexible hours, including evenings and weekends as needed.
• Ability to perform duties in accordance with Agency’s Safety Policies and Injury Prevention Program.


$24.50 – $27.96 is the wage range for this position. The hourly wage offer will be commensurate with skills and experience. Outstanding and generous health benefits program, 4 weeks of Flexible Time Off (vacation and sick), ten paid holidays, and retirement plan.
